With Practice Fusion, you can submit superbills to an integrated billing partner or create bills to print or export without an integration.
Editing patient, insurance, provider, and facility details
Any user may create a superbill for a patient that has a patient record number entered in their chart by following the steps listed below:
- Within a patient encounter, click the Actions menu in the top right corner.
- Select Add superbill.
- The superbill will open in a new tab.
Once the superbill is open, you can add billing codes, diagnosis codes, and modifiers. For each service added, a corresponding diagnosis code must also be selected. You can also add additional notes and edit additional details.
1. Click into the billing code field to add a billing code to the superbill (see Graphic 1 below). Search for a code or select one from your list of frequently used, custom, or templated codes. You may search by code or service description.

2. If you are unable to locate a particular code, you can create a custom code by clicking the blue Add custom code link at the end of the list of search results (see Graphic 2 below). Input the custom code and description, then click Add (see Graphic 3 below).

To add an existing custom code to your superbill, click into the Billing code field and begin typing the service code. All custom codes will also be listed under the Custom codes sub-list (see Graphic 4 below).

3. You can add multiple billing codes to a superbill simultaneously by continuing to search for and selecting additional codes. Once you have selected the services, click Add (see Graphic 5 below).

You may associate a maximum of 12 diagnoses per service in the Practice Fusion superbill. The official CMS 1500 claim form that your biller creates allows for 12 diagnoses to be documented per claim. Please note that the Practice Fusion superbill is not used as an electronic claim and can be adjusted to include diagnosis pointers and additional diagnoses after it has been submitted to your billing system for review.
1. Diagnoses from the patient’s encounter will automatically populate within the superbill. To select an additional diagnosis, click within the Search by ICD-10 code or description box below the selected billing code (see Graphic 6). As you begin typing, Practice Fusion will offer a list of potential diagnoses (see Graphic 7). Select the appropriate diagnosis from the dropdown menu.

2. You may view diagnosis history by utilizing the tabs in the search bar (see Graphic 8 below). In order for a diagnosis to display under the Encounter section, you must add the diagnosis via the Assessment section of the encounter.
From within the search bar, you can also select a diagnosis from yourDx favorites. Using our diagnosis search, you may also search for new diagnoses by:
- ICD-10
- Diagnosis description

3. The diagnosis maps only to ICD-10 codes and once selected, will automatically add the diagnosis to the superbill. In some instances, a diagnosis may correspond to multiple ICD-10 codes and you will be prompted to select the specific ICD-10 code. Any diagnosis that maps to multiple ICD-10 codes and requires further refinement will display an orange alert (see Graphic 9 below). Use the Filter to narrow down the list of potential ICD-10 codes (see Graphic 10 below).

4. You can add multiple diagnoses to each service by continuing to search for and select additional codes. After adding all relevant diagnoses for the service (you can add multiple per billing code), you can reorder them within your superbill by clicking the four horizontal lines to the left of the diagnosis and dragging up or down (see Graphic 11 below). Diagnoses can also be deleted.

Editing patient, insurance, provider, and facility details
The patient’s demographic information will auto-populate in the superbill (see Graphic 12). If you have edited any patient demographic information after creating your superbill, the information will update each time you re-select the active superbill tab.

Within the Insurance section of the superbill, you may review active insurance information for the patient as well as any applicable guarantor information.
Within the Service details portion of the superbill, you may review provider/facility information and enter a prior authorization number as required.
You may elect to edit any section as needed by selecting the Edit or Edit in Profile options (see Graphic 13 below).

Charges may be reviewed by navigating to the appropriate section. From this area, payments may be entered. Users will also see Copay information visible if applicable to the patient. See Graphic 14 below for additional detail.

Once you have completed your superbill, you can save it by selecting a status from the dropdown menu in the top-right corner (see Graphic 15 below). When ready, you can print or download the superbill. Alternatively, if you are connected with one of our integrated billing partners, selecting Ready for biller will electronically submit the superbill to your billing software.

If you would prefer to save the superbill as a template for future use, you may do so by selecting Save as new template and filling in the required template name (see Graphic 16 below).

In the case that your practice is connected with one of our integrated billing partners, any user can track the superbill through the process of being reviewed by the billing partner by clicking History at the top of the superbill as shown in Graphic 17 below.

In the History section on the superbill, a user can see when a superbill was successfully sent to the integrated billing partner as well as any errors that the partner is returning that are preventing the superbill from being successfully processed.
You can view all your superbills in the Reports section using the Billing Report. Use the dropdown at the top to filter results by Draft, Ready for biller, or Error as seen in Graphic 18 below. To make it easy to find a superbill, you can search for a specific superbill, or sort by any of the columns by clicking the header once to sort ascending and again for descending order. You may also locate archived superbills using the Archive tab.
